Who we are

ELCC & Community Development is operated by 1533948 Alberta Corp, at 425 78 Avenue SW, Calgary, Alberta, T2V 5K5, Canada. GST/HST registration 813914868RT0001.

This policy explains what personal information we collect, why we collect it, what we do with it, and what you can do about it. It applies to elcccommunitydevelopment.com and to our ECE Warehouse store.

Our commitment in plain language

We collect the least we can get away with. We do not sell your personal information, ever, to anyone. We do not trade it, rent it, or hand it to advertisers. If you ask us what we hold about you, we will tell you. If you ask us to delete it, we will, unless the law requires us to keep it.

We work with early childhood educators, and educators are asked to hand over information about themselves and about children constantly. We think you deserve better than a policy written to protect us.

What we collect and why

When you sign up for our newsletter. Email address, and optionally first and last name, province or territory, and your role in the sector. We use these to send you the newsletter and to make it more relevant. Consent is express and you can withdraw it at any time using the unsubscribe link in every email. We comply with CASL.

When you submit a professional learning opportunity, resource, or presenter profile. Your name, organisation, contact details, and the two references we ask presenters for. We use these to review the submission and to contact you about it. If your listing is published, only the information you intend to be public appears publicly. We never publish an email address or phone number taken from an internal database.

When you contact us. Whatever you put in the message. We keep correspondence so we can pick up where we left off.

When you buy something from our store. Name, shipping address, billing address, email address, phone number if you give one, and what you ordered. We need this to take the order, ship it and support you afterwards.

Payment information. We do not see, hold, or store your full card number. Payments are processed by Shopify Payments, which is PCI DSS compliant. We receive only a confirmation, the last four digits, and the card type.

When you visit the website. We use Koko Analytics, which is cookieless and first party. It records page views and referring sites in aggregate. It does not set tracking cookies, does not follow you across other websites, and does not build a profile of you.

What we do not do

• We do not sell, rent or trade your personal information.
• We do not use your information to train artificial intelligence models, ours or anyone else’s.
• We do not run advertising trackers or data brokers on our sites.
• We do not collect information about children. Our services are for adults working in the sector. If you believe a child has given us personal information, contact our Privacy Officer and we will delete it.
• We do not ask you for, or want, any information about the children in your care.

Who we share it with, and why

Only service providers who need it to do a job for us, and only the minimum they need: Shopify and Shopify Payments to run the store and process payments, our print and fulfilment partners and shipping carriers to make and deliver orders, Mailchimp to send the newsletter, and Microsoft 365 for our email.

Some of these providers process or store data outside Canada, including in the United States. That means your information may be subject to the laws of those countries, including lawful access requests by foreign authorities. We choose providers with recognised security practices, but we want you to know this rather than bury it.

We will disclose personal information if we are legally required to. If that happens and we are permitted to tell you, we will.

How long we keep it

• Order records: seven years, because Canadian tax law requires it.
• Newsletter subscriptions: until you unsubscribe, then we keep a suppression record so we do not accidentally email you again.
• Submissions that were not published: two years, then deleted.
• General correspondence: three years.
• Analytics: aggregate only, no personal records retained.

Your rights

You can ask us to tell you what we hold about you and where we got it, correct anything that is wrong, delete it unless we are legally required to keep it, give you a copy in a portable format, stop emailing you instantly via any unsubscribe link, or withdraw consent for anything you previously agreed to.

Email our Privacy Officer and we will respond within 30 days, which is the PIPEDA standard. We will not charge you, and we will not make it difficult.

Security

Our sites use TLS encryption. Payment data is handled by PCI DSS compliant processors and never touches our servers. Access to personal information inside our organisation is limited to people who need it. We review this periodically.

No system is perfectly secure. If a breach occurs that creates a real risk of significant harm, we will notify affected individuals and the Office of the Privacy Commissioner of Canada, as required by law.

Cookies

This site sets only the cookies it needs to work: a WordPress session cookie (PHPSESSID) and a Cloudflare security cookie (__cf_bm) used to filter automated traffic. If you use the shop, WooCommerce sets further cookies that are strictly necessary for the cart and checkout. We do not use advertising or cross-site tracking cookies, and we do not run Google Analytics, Meta/Facebook, or any third-party advertising tags. Visitor numbers are counted using Koko Analytics, which runs on our own server, sets no cookies, and does not follow you to other websites. Web fonts are served by Google Fonts, which means Google receives your IP address when a page loads. Because we set no tracking or advertising cookies, this site does not display a cookie banner. If we add analytics or advertising tools that do track you, we will ask for your consent before they run. You can control or delete cookies in your browser settings, though blocking the necessary ones may stop parts of the site working.

Changes

If we change this policy materially, we will update the date at the top and, for significant changes, tell newsletter subscribers directly. We will not quietly weaken it.
